Job Summary:

Help at Home is seeking an organized and proactive IT Vendor & Asset Management Specialist. In this role, you will manage the lifecycle of our company’s printer fleet and mobile devices, including a transition of mobile services from MetTel and C-Spire to our primary providers: T-Mobile, ATT, and Verizon. This role will ensure efficient operations, cost optimization, and seamless transitions while maintaining strong relationships with key vendors, including Xerox for printers and the big three mobile providers. This is an excellent opportunity to play a key role in optimizing technology resources across the organization.

Essential Duties/Responsibilities:

Printer Management:
  • Oversee and manage the entire lifecycle of all printers across Help at Home, including desktop printers, office printers, scan snaps, and other devices.
  • Maintain an up-to-date inventory of all printers and related equipment within the company’s environment, ensuring proper documentation and tracking through the CMDB (Configuration Management Database).
  • Work closely with the vendor Xerox to ensure timely delivery, installation, maintenance, and disposal of printers and related equipment.
  • Order printer supplies (ink, toner, paper) and monitor printer usage to optimize resources and reduce costs.
  • Manage printer repairs and troubleshooting, coordinating with vendors and internal IT teams to resolve issues efficiently.
  • Ensure proper disposal and recycling of printer supplies and equipment, in compliance with company policies and environmental standards.
Mobile Device Management (T-Mobile, ATT, Verizon):
  • Manage all company mobile devices across the primary mobile service providers: T-Mobile, ATT, and Verizon. (Also MetTel and C-Spire for the time being)
  • Lead the transition of mobile accounts from MetTel and C-Spire to T-Mobile, ATT, and Verizon, ensuring a smooth process and minimal disruption to employees.
  • Oversee the activation, deactivation, and suspension of mobile lines, ensuring that unused lines from the transition are properly managed.
  • Monitor mobile device usage across all three providers, ensuring that plans are cost-effective and preventing overages.
  • Reconcile mobile billing, identifying discrepancies and opportunities for savings as accounts are consolidated into T-Mobile, ATT, and Verizon.
  • Coordinate with mobile vendors to adjust plans, negotiate rates, and ensure the most cost-effective solutions for the company.
  • Provide support for mobile device upgrades, replacements, and troubleshooting for T-Mobile, ATT, and Verizon accounts.
  • Assist in managing mobile security and compliance, ensuring devices meet company standards and protect sensitive information.
Vendor and Contract Management:
  • Maintain strong relationships with key vendors, including Xerox for printers and T-Mobile, ATT, and Verizon for mobile services.
  • Manage contracts and service agreements, ensuring favorable terms, compliance with security standards, and optimal pricing for services.
  • Oversee and ensure the performance of vendors, ensuring that service levels are met and issues are resolved promptly.
  • Track licensing and technology usage across both the printer and mobile device portfolios to ensure effective cost management and optimization.
  • Oversee the Purchase Order (PO) and approval processes for all asset-related purchases, ensuring appropriate approvals and budget management.
Leadership & Process Improvement:
  • Foster a culture of innovation, process improvement, and resourcefulness within the team.
  • Identify opportunities for process improvements across both printer and mobile device management to streamline operations and reduce costs.
  • Solve problems effectively, utilizing available information and sound judgment to ensure smooth operations.

Required Skills and Qualifications:

  • 7-10+ years of management or leadership experience in IT vendor or asset management.
  • At least 3-5 years of experience managing vendor relationships and contracts in an enterprise environment.
  • Strong understanding of ITSM processes and terminology.
  • Experience managing hardware asset lifecycles, including procurement, maintenance, and disposal of devices.
  • Familiarity with managing contracts, billing, and licensing related to both printers and mobile devices.
  • Excellent communication, negotiation, and problem-solving skills.
Preferred Skills & Experience:
  • Experience working with mobile carriers such as T-Mobile, ATT, and Verizon.
  • Prior experience with print vendors like Xerox or HP.
  • Process improvement experience with a focus on optimizing technology and asset management.
  • Strong knowledge of mobile device management and lifecycle processes.
  • Experience with vendor contract negotiations and relationship management.

Education and Experience:

  • Bachelor’s degree in computer science, Information Systems, or a related field, or equivalent work experience preferred.
